FREQUENTLY ASKED QUESTIONS
Is IMS setup to handle multiple sports and multiple sites?
Yes. The Injury Management Software program is definitely capable of handling a multi-sport/multi-site configuration. That is to say that if you have multiple athletic training rooms that treat multiple player groups, IMS allows you to set this up and there is no limit to the number of sports or sites added in the system. Your Admin user may also configure the system to restrict access of certain sites to specific users if necessary.
Our organization includes several high schools and one central medical clinic that treats athletes from all the schools. Can IMS support such a structure so that the clinic has access to the records at each school?
IMS does allow for such a structure. The IMS Admin user can give permissions (in Admin/Security) for the users at the medical clinic to sign in at each high school when they need to work at that institution. The user would not need to be at the specific high school to log into that institution if the permissions are given.
Some of our institutions play different sports or provide different treatments than others. Is there a way to have different sport and/or treatment lists for different institutions within one organization?
Fortunately, IMS is structured in such a way that each institution in a multi-institution setup can determine which sports they play and which treatments they provide; however, if an institution would like to add a treatment that is not on the master list of treatments to choose from, they would need to contact their Admin user to add that particular treatment to the master list before they could add it to their own list of treatments used.
Is there a limit to the number of users or sites we can add to the system?
No, there is no limit on the number of users or sites you add to the Injury Management System.
Is IMS capable of producing a standard HCFA 1500?
We do offer a module within the Injury Management program that will allow you to produce a standard HCFA 1500 right in the IMS system. For further information regarding this and other module “add-ons,” please contact us at sales@NexttSolutions.com.
Our school has insurance coverage through an outside company. Can we generate the form we’re required to file with the company directly in IMS?

Can reports be e-mailed instead of just printed out?
Users do have the option to print, e-mail, or save as PDF all reports generated through the Injury Management System.
What if an athlete plays multiple sports?
If a single athlete participates in multiple sports, you have the capability in IMS to specify which sport (and/or position) the athlete was participating in when his/her injury occurred. When adding a new injury occurrence in the Episodes screen, IMS defaults the sport and/or position in the “Categories” area of the screen to the primary sport/position that was originally designated for the athlete in the Players screen. Simply change these fields to the sport/position the athlete was playing when the injury occurred. This will allow the injury occurrence to reflect the proper sport/position without changing their primary sport in the players screen.
Can we attach x-rays and/or other files in IMS?
IMS gives users the option to attach files to an athlete’s master record as well as to any injury records they choose. Player photos, insurance card scans, etc. can be attached to a player’s record in the “Attachments” area of the Players screen. IMS even allows users to generate Player Info Sheets from the Players screen that will display all the personal information (i.e. player and emergency contact info, insurance data, athletic data, etc.) along with their photo and insurance card scans if they are attached in the system. Users may also choose to attach x-rays, MRIs, or other scans/documents to a player’s specific injury record through the Episodes screen.
I know we can log treatments in IMS, but what about medications?
Similar to the treatment grid provided in IMS, we also have a medication grid available for you to log medications. A user with Admin rights would need to set this up through the Admin/System Settings screen. In some cases, users can order meds as well. What is the difference between Standard Episodes and Personal Episodes?
The Injury Management System is designed to allow as much flexibility as desired. In some cases, users would like to have a place to log non “injury-specific” treatments that is separate from where they log treatments for a specific injury. Some users, on the other hand, prefer to have one location for everything. Fortunately, IMS allows for both.
In IMS, a “Standard Episode” is defined as one that occurs as a result of a specific injury. For example, if you have an athlete that suffers an ankle sprain during a game, you would add a new “Standard” Episode record and log treatments for that injury in that record. On the other hand, if you have an athlete that comes in to have an ankle taped before all practices and games and you want to log that in the system, but it is not related to a specific injury, you could choose to log it under that player’s “Personal” Episode (Note: You can determine if you are viewing Personal episodes if there is a “P” in front of the episode number.). Some users choose not to ever use the “Personal” episodes which is fine. The great thing about IMS is that it allows for this type of flexibility.
